We're currently seeking an Accounts Payable Specialist to join our Fiscal Department and help ensure our vendors are paid accurately and on time.

About the Role:
As our Accounts Payable Specialist, you’ll be at the center of our vendor payment process—supporting our programs, procurement, and fiscal teams by verifying expenses, processing payments, and ensuring compliance with accounting standards and funding guidelines. Your accuracy, efficiency, and customer service mindset will help keep our systems strong and our partnerships thriving.
What You’ll Be Doing:
- Review and process a high volume of vendor invoices and payment requests in alignment with agency policies
- Match purchase orders and receiving documents to ensure completeness and accuracy
- Prepare and execute weekly check runs, ACH/EFT transactions, and wire payments
- Maintain up-to-date vendor files, including W-9 forms and contact details
- Reconcile AP transactions and resolve invoice discrepancies with vendors and internal teams
- Respond to vendor inquiries in a professional and timely manner
- Assist with month-end closings and support documentation for audits or funder monitoring
- Ensure all expenses are coded accurately and in compliance with grant-specific or regulatory requirements
- Collaborate across departments to maintain internal controls and improve AP procedures
What You Bring to the Table:
- Associate’s degree in Accounting, Finance, or related field—or equivalent work experience
- 2–3 years of accounts payable experience (nonprofit or human services setting preferred)
- Solid understanding of accounting principles and A/P best practices
- Proficiency in accounting software (Great Plains or similar ERP systems) and Microsoft Excel
- Strong organizational skills with high attention to detail
- Ability tomanage multiple priorities and deadlines
- Excellent communication and problem-solving skills
Preferred Qualifications:
- Familiarity with grant-funded programs and related compliance (e.g., OMB Uniform Guidance)
- Experience with electronic invoice processing systems and document management tools
Work Environment & Physical Demands:
- Standard office environment with occasional lifting (up to 25 lbs)
- Occasional evening or weekend hours may be required during peak fiscal periods
