Administrative Assistant II

Location: Northampton, MA
Schedule: Monday-Friday, 9a-5p
Pay: $21/hr
ServiceNet is a dynamic and compassionate nonprofit organization committed to delivering innovative mental health, developmental, and human services across Western Massachusetts. Our Mental Health Recovery Services Division is looking for a full time Administrative Assistant II to support their senior management team.
Key Responsibilities:
- Develop and maintain filing system of paper and electronic documents
- Document and update operating procedures and policies; suggest and implement more efficient ways to perform operational functions and troubleshoot problem areas
- Track data, manage spreadsheets; assist with managing housing and financial data and information
- Provide office management support including troubleshooting office equipment, ordering supplies, and scheduling regular and emergency IT and maintenance needs.
- Coordinate meetings including scheduling and set up of meeting room and preparation of agenda
- Coordinating with other ServiceNet administrative assistants
- Assist senior managers with a variety of administrative projects
- Contribute to a welcoming environment in our office for staff and visitors
- Handle highly sensitive, confidential information with discretion and a high degree of care
- Serve as liaison with other ServiceNet departments
- Provide scheduling and administrative support to senior managers as needed
Minimum Qualifications:
- Associate’s Degree or Bachelor’s Degree and/or 3 years of relevant administrative support experience
- Excellent organizational skills and ability to prioritize
- Advanced Microsoft Office skills with the ability to become proficient with agency-specific programs and software
- Ability to communicate with skill and diplomacy
- Ability to exercise discretion and confidentiality with sensitive company information
- Self-motivated, professional presentation
- A valid driver’s license and vehicle
